Part-Time Office Administrator

Salary: APT&C Scale 3, £30,408 (pro rota)

Hours: 22.5 hours pw (Term Time Only) 8:45am-1:15pm daily

We are seeking a highly competent, enthusiastic and experienced Receptionist/Administrator to provide excellent front-line service in our small but busy reception/office area. You will be the first point of contact for the school in both telephone calls and greeting and welcoming parents and visitors into the school each day.

The role will involve supporting front-of-house operations, managing data and ensuring effective communication across the school. The school has a strong operational structure and a collaborative office team across the federation, making it an excellent opportunity for an Administrator with school-based experience or strong transferable admin skills.

 

Key Responsibilities

The successful School Administrator will:

  • Provide front-of-house support, including answering calls and greeting visitors
  • Manage school communications, including emails and correspondence
  • Maintain accurate pupil and staff records
  • Support attendance tracking; processing attendance information and following up on absences
  • Create and manage purchase orders
  • Updates school social media accounts and parent communication apps
  • Assist with general administrative tasks across the school
  • Work closely with leadership and teaching staff
  • Dealing professionally with parents, pupils and staff.
  • Updating the school's Management Information System (MIS).
  • Supporting admissions and new pupil registrations.
  • Preparing letters, documents and correspondence.
  • Assisting with general school administration and office duties.
  • Supporting the wider school office team during busy periods.
  • Maintaining confidentiality and following safeguarding procedures at all times.

 

Qualifications and Experience Required

  • 5 GCSEs at grades 9 to 4 (A* to C), or equivalent, including English and Maths
  • At least 12 months in-school experience in a similar role
  • Fluent level of English, spoken and written.

 

We are looking for candidates who have:

  • Previous experience working within a school or education setting.
  • Strong administrative and organisational skills.
  • Excellent communication and interpersonal skills.
  • Experience using school systems such as SIMS, Arbor, Bromcom or similar.
  • Excellent attention to detail.
  • The ability to adapt quickly to different school environments and systems.
  • A professional, friendly and approachable manner.
  • The confidence to work independently and as part of a wider school team.
  • A reliable and flexible approach to work.
  • An Enhanced DBS on the Update Service is required, or you must be willing to obtain one.
